How to update budget via import

You can update an existing budget in Planyard by exporting, editing, and re-importing the budget spreadsheet. This now includes support for updating Revised Budget (Cost Forecast) values in bulk.

1. Export your current budget

  1. Open your project.
  2. In the Budget view, click the Export button in the top-right corner.
  3. Download the file titled XLSX (change and import).

This file contains all your existing budget data, including:

  • Net estimated cost (quantity, unit price, total)
  • Target budget (quantity, unit price, total)
  • Budget submitted to client (quantity, unit price, total)

2. Edit the exported file

You can adjust existing values directly in the spreadsheet.

To update Revised Budget values in bulk, use these three optional columns:

Note: The Revised Budget section is not visually highlighted in the spreadsheet — but values in columns O–Q will be imported if provided.

Import behaviour:

  • If values in columns O–Q are present, they will be imported and overwrite existing revised budget data.
  • If value cells are missing or left empty, Planyard will retain existing values or fall back to target budget values for new items.
  • If only some fields are filled in (e.g. just unit price), the system will not import them — all three fields must be filled.
  • The system validates that Quantity × Unit Price = Total, with minor rounding tolerance.

NOTE: Line items are matched by name, so avoid renaming existing items unless you’re creating new ones.

3. Re-import the updated file

  1. Go back to the Budget view in your project.
  2. Click Add line item in the top-right corner.
  3. Select Import file and drag in your updated XLSX (change and import) file.
  4. In the import dialog, click Update and import — not just Import.

Planyard will now:

  • Update existing line items with the new budget and/or revised budget values.
  • Add new line items if they’re present in the file.
  • Show errors if they exist.

Important:

Only numeric values are processed.

  • If a cell is blank, it will be ignored
  • If a cell is cleared, it will not trigger any update
  • If a cell is set to zero, the value will be updated to zero

This process ensures your live budget and revised forecast are always in sync.
