This release brings several enhancements to improve clarity and efficiency across Planyard. Key updates include enriched payment application summaries with percentage context, improved budget code import access, consistent ordering of change orders, and a new PDF template for payment applications in the Oceania region. We’ve also made file searches more robust and streamlined invoice mapping with OCR extraction.

Budget

Improve budget code import access in estimates

Users who have permission to edit an estimate can now consistently use the “Add from budget codes” action for category rows. Previously, some users with estimate editing rights were unable to perform this action, creating an inconsistency. Access to “Save to budget codes” remains restricted to users with specific budget code edit permissions, maintaining data integrity.

General Improvements

Consistent line item ordering across documents

We’ve standardized the display order of line items (articles) across all document types, including internal and client-facing contracts, commitments, billing records, and purchase orders. Regular articles now appear in their user-defined order, followed by change orders (extra work items) which are grouped together and sorted by their creation date. This ensures a predictable and consistent view of your documents, eliminating discrepancies that could arise when comparing the same contract from different perspectives.

Invoice inbox

Improve project search in file workflows

To make finding the right project faster and more accurate, project selection labels in key file workflows (such as Inbox mapping, Files view assignment, and Project files release) now display both the project code and project name. This allows you to search and identify projects more easily, whether you use codes or names, and helps distinguish between similarly named projects.

OCR amount extraction for invoice mapping and Peppol export

When processing scanned invoices, Planyard now automatically extracts net (ex-VAT) and VAT amounts. This data is used in two ways:

  • Invoice mapping form: The invoice total field is now pre-filled with the net amount extracted from the scan, providing a helpful starting point that you can still edit.
  • Peppol e-invoice export: When generating a Peppol XML invoice from a scanned document, the export will now include accurate tax breakdowns using the extracted net and VAT amounts, rather than defaulting to zero.

Valuations

Show percentage of contract value in payment application tables

To provide a clearer understanding of your project’s financial progress, the summary row at the bottom of all payment application tables now displays both the monetary amount and its percentage of the total contract value. This context is available for “Previously committed,” “Current progress report,” “Committed total,” and “Remaining” amounts, making it easier to grasp how much of the contract each figure represents at a glance. This enhancement also applies to PDF exports of both subcontractor and client-facing payment applications.

Configurable payment application PDF template

Companies can now choose between two PDF layouts for payment application (progress report) documents:

  • Default: The existing standard layout with invoice details and a breakdown section.
  • Oceania: A new layout designed for the Oceania region, which replaces the invoice section with a structured cover letter. This cover letter includes a Contract Summary table (showing original contract amount, variation order additions, and revised total) and a Claim Summary table (detailing work done, retainage, previous payments, VAT, prepayment settlement, and the final amount for the current claim).

This template setting is configured per company in Company Settings → Payment application PDF template and applies to all projects within that company.

Work orders

Work order task improvements

We’ve made two key improvements to work order tasks:

  • Task names now include the line-item code: When creating tasks from budget line items, the task name is now automatically pre-filled with both the line-item code and name (e.g., “120002 Fences demolition”). This makes it easier to identify and match tasks to their corresponding budget line.
  • Description is now directly editable: You can now edit the description of existing tasks directly within the work order task table, similar to how you edit quantities. Simply click on any description cell in an open work order to make changes inline.
