How to manage project-level permissions

How to manage project-level permissions

Project-level permissions can be configured in two ways: individually per project, or globally across all projects at once. Before assigning project access to a user, they must first be invited to the company account.

Option 1: Set permissions per project

To share a project with a user and set their permissions:

  1. Go to Projects in the top menu and open the relevant project.
  2. Click Settings in the project menu.
  3. In the top right corner, click Share Project.
  4. Select the user from the dropdown.
  5. Tick the boxes for the permissions they should have on this project.

Permissions are saved automatically.

To edit an existing user’s permissions on a project:

  1. In Project Settings, scroll down to the list of users with access.
  2. Click the three dots on the far right of the user’s name and select Edit.
  3. Adjust the permissions and click Save.

Option 2: Set default permissions globally across all projects

You can configure a default set of project-level permissions for a user that applies automatically across all non-confidential projects. Any project where the user already has specific permissions set is not affected.

To set global project permissions for a user:

  1. Go to Company in the top menu and select User Management.
  2. Find the user and click the three dots on the far right of their name.
  3. Select Edit.
  4. Under Default project access (optional), click Configure.
  5. Tick the permissions you want this user to have across all projects:
    • Project viewer — Can view everything in the project but cannot modify anything.
    • Project document uploader — Can upload documents but cannot modify anything.
    • Project RFQ manager — Can create RFQs in the project.
    • Project purchase order manager — Can create purchase orders in the project.
    • Permission to prepare drafts — Can prepare costs, contracts, and other documents for a project manager to confirm.
    • Project payment application manager — Can prepare payment applications for a project manager to confirm.
    • Project variation manager — Can prepare variations in payment applications.
    • Project payment application decision maker — Can confirm and reject payment applications.
    • Invoice manager — Can create and approve purchase and sales invoices.
    • Timesheet approver — Can approve submitted timesheets.
  6. Click Save.

Note: Global default permissions apply to all non-confidential projects. To override permissions for a specific project, configure them at the project level using Option 1 above.
