How to update budget via import

You can update an existing budget in Planyard by exporting it, editing the spreadsheet, and re-importing it. This works for all budget columns, including Net Estimated Cost, Target Budget, Budget Submitted to Client, and Revised Budget.

1. Export your current budget

  1. Open your project.
  2. Go to the Budget view.
  3. Click Export in the top-right corner.
  4. Download the file titled XLSX (change and import).

The exported file includes all existing budget data with clearly labeled column headers for each budget type.

2. Edit the exported file

Open the file and update the values directly in the relevant columns.

You can modify any of the following budget sections:

  • Net Estimated Cost (Quantity, Unit Price, Total)
  • Target Budget (Quantity, Unit Price, Total)
  • Budget Submitted to Client (Quantity, Unit Price, Total)
  • Revised Budget (Quantity, Unit Price, Total)

Each section has its own column headers in the spreadsheet.

Import behavior

  • Line items are matched by Budget Code and Name.
  • If both match an existing line item, the item will be updated.
  • If either the Budget Code or Name is changed, Planyard will create a new line item.
  • Do not reorganise, rename, or restructure existing line items if your goal is to update values only. Change only the numeric fields you want to update.
  • If values are present in a set of Quantity, Unit Price, and Total columns, they will overwrite the existing values.
  • If cells are left empty, existing values remain unchanged.
  • If you fill only part of a set (for example, only Unit Price), the system will not import that section. You must fill Quantity, Unit Price, and Total.
  • The system validates that Quantity × Unit Price = Total, with minor rounding tolerance.

Important:

  • Only numeric values are processed.
  • If a cell is blank, it is ignored.
  • If a cell is cleared, it does not trigger an update.
  • If a cell is set to 0, the value is updated to zero.

3. Re-import the updated file

  1. Go back to the Budget view.
  2. Click Add line item in the top-right corner.
  3. Select Import file.
  4. Drag in your updated XLSX (change and import) file.
  5. In the import dialog, click Update and import — not just Import.

Planyard will:

  • Update existing line items with the new values.
  • Add new line items if they exist in the file.
  • Display errors if validation issues are found.

This process keeps your live budget data aligned across all budget types.
